Instructions for the Administering Section of a Contract or Project

Accessing ACIA For the First Time

Go to this link: https://acia.deldot.gov/home and then select “Request Access”

Completely fill out the form on the screen.

When selecting Role:

  • Be sure to select either PROJECT INSPECTOR or PROJECT MANAGER depending on your role in the field
  • It's important that you choose the role that contains the word PROJECT. These roles differ from other similar roles available to choose from


This will be approved in the system, and you will then have access to the full live version of our ADA 

inspection application.

You should now be able to Log in to ACIA form the home page https://acia.deldot.gov/home

AFTER RECEIVING YOUR ADA REPORT FROM ENGINEERING SUPPORT 

Project Manager Steps

1) In the Inspection Summary you will see the projects listed that you manage

               Select  View/Edit   for the Project you would like to work on 

2)Now you will see a List of Assignments for that Project—

                               Select View Inspection for the Assignment you want to work on to see a LIST of all the 

facilities that were inspected on that assignment

                                               You are able to select  Review Complete   for Any  facility and see the data and 

photos that were taken during inspection

                                               Select  Review Complete  for the Facilities that are marked FAIL  
                                               At the BOTTOM  of the Screen there is a button that says   Assign 

Reinspection Select this and it will be Assigned to the Project Inspector

               3)  REPEAT these steps for All of the Failing Facilities within EACH of the  Assignments for that 

project.

                               Let your Project Inspector know that they are ready for reinspection—there is no 

automatic way to do this

Once the Project Inspector is done there is still another step for you to complete

Project Inspector Steps 

1) Log in to ACIA In the Inspection Summary you will see a list of Projects you are assigned to a. Select View/Edit for the Project you are working on 2) Now you will see a List of Assignments for that Project a. Select View Inspection for the Assignment you are starting with and you will see a list of all the facilities that were inspected on that assignment -at the bottom of the page there is a MAP that shows the facilities on that assignment as well b. You will be able to select Perform Reinspection for any facilities that were Re-Assigned by the Project Manager c. This will take you to a page that shows a Diagram of a standard facility for reference and all the Data that was collected during the inspection process. Under Comments you will see notes about what was non-conforming on that facility and under Location Photos you may see photos that were taken of the facility during inspection d. To Correct a facility please follow the following steps i. Make sure that whatever the issue was it has been corrected--- Take a photo of any work that was Re-done, any new panels, grinding, filled gaps, DWS etc. that were part of a correction ii. Re-Measure any Failing Measurements and Change the corresponding Data field on the form. iii. Be sure to re-measure ALL of the corresponding measurements for any Panel Replacements iv. Take photos of the Level to verify if necessary and Make Comments saying what work was done to remediate a situation or if NO work had to be done please justify this in the comments as well and with a photo if needed v. IF an RPE is being requested or has been located for a facility that can be attached in the documents by the Project Inspector OR the Project Manager. vi. Once this is complete select SAVE at the bottom of the screen e. REPEAT for all failing facilities on a Project 3) Let the Project Manager know that this has been completed—there no automatic way to do this

Project Manager part 2 (once the Project inspector is finished)

               For Verification purposes  and in case any  Documents or  RPE’s and additional notes need to be 

added to a facility the Project Manager is required to log back in and review the corrections that were made by the Project Inspector. 1. Log in as before and once you are looking at the list of facilities within the assignment you can now select Inspection Not Submitted for any of the facilities you had previously reassigned. a. Once selected you will see the Data, photos and other information for the facility you are reviewing – Please check to make sure that any corrections have been properly documented—if needed you can add RPE’s to the Documents section or additional photos and Comments. b. Once complete select the button that says Submit 2. Once this has been done for ALL of the facilities in a project send an email to dot.adasupport@delaware.gov requesting a re-evaluation---Include as an attachment your original ADA report from Engineering Support

Your ADA Acceptance Memo will be issued upon the completion of this process—but only after the Annotated Initial and Final Inspection punch lists are submitted
